Comparison
Gudvins vs running your leads in a spreadsheet
Most brokerages in India run on a sheet, and that is not a mistake — a sheet is free, everyone can use it, and it never gets in the way. The trouble starts when the floor grows past three people and nobody can say who called a lead last.
Keep the sheet if you're one or two people and it's working — a CRM you don't open is worse than a sheet you do. Move when leads start going cold without anyone noticing, when two people call the same buyer, or when you can't answer "what happened to that enquiry" without scrolling.
Side by side
| Gudvins | spreadsheets | |
|---|---|---|
| Cost | ₹1,299/month up to 10 people, ₹2,199 up to 20. Free during early access. | Free, or included with Google Workspace. |
| Who called whom | Every call, note and status change recorded against the lead, with who and when. | A notes column, if everyone remembers to fill it. |
| Two people on one lead | A lead has one owner. The rest of the team can see it, not grab it. | Whoever types last wins. Duplicate calls are common. |
| Follow-ups | Due dates, an overdue list, reminders you can add to a calendar, and a morning digest. | A date column you have to sort and remember to check. |
| New leads from Facebook or a portal | Sheets sync and CSV import with drag-to-map, duplicates skipped automatically. | Copy, paste, and hope the columns line up. |
| Unit inventory | Blocks and towers with per-unit status, size and price; hover shows who holds a unit. | A second sheet, usually out of date by Friday. |
| Cost sheet | PLC, floor rise and GST in a formula grid; prints to PDF; attached to the lead. | A template file per project, re-saved per buyer — this part a sheet actually does well. |
| Who can see what | A rep sees only their own leads; a manager sees their team's; owners see everything. Enforced in the database. | Anyone with the link sees everything, including your whole buyer list. |
| If someone leaves | Deactivate them; their leads stay and get reassigned. | If the sheet was in their Drive, you negotiate for it. |
| Flexibility | Fixed screens plus custom columns you add yourself. | Unbeatable. A sheet does anything you can imagine, immediately. |
- You have three or more people touching the same leads
- Leads arrive from Facebook, a portal or a website form faster than anyone can paste them
- You can't tell which leads were never called at all
- You'd rather your buyer list wasn't one shared link away from a competitor
- You're one or two people and you genuinely keep up
- You're modelling something unusual — a payment plan, a feasibility, a one-off calculation
- Your process changes weekly and you don't want any structure yet
- You just need a list, not a workflow
Moving from spreadsheets
- Tidy the sheet a little: one header row, one lead per row. Don't bother perfecting it.
- Either upload the file in Leads → Import, or connect the sheet itself under Google Sheets sync and keep working in it while new rows flow across.
- Drag your columns onto the CRM fields. Columns that don't match — "Source Campaign", "Remarks" — become custom columns in the same screen.
- If your sheet has a date column, map it so the original enquiry dates survive; blanks default to today.
- Pick phone as the duplicate check. Portal leads repeat, and this stops the double entries.
- Invite the team, then set assignment rules so tomorrow's leads land on the right person automatically.
You don't have to abandon the sheet. Plenty of teams keep the Google Sheet as the intake from their ad forms and let Gudvins sync from it every night — the sheet stays, the chasing moves.
Most teams are working in Gudvins the same afternoon. If the import looks awkward, send us the file on WhatsApp and we'll map it with you.
- No competitor pricing is involved here; spreadsheets are free or bundled with Google Workspace or Microsoft 365.
- The comparison reflects how property teams in India typically use sheets: one shared file, a notes column, and a second sheet for inventory.

Questions
- Can I keep using my Google Sheet after moving?
- Yes. Connect it under Google Sheets sync and new rows come across automatically, with duplicates skipped by phone or email. Many teams keep the sheet as the intake from Facebook lead forms and work the leads in the CRM.
- Will I lose the dates and notes already in the sheet?
- No. Map your date column during import and the original enquiry dates are kept; blank ones default to today. Any column that doesn't match a CRM field can become a custom column, so remarks and campaign names come across too.
- Is a spreadsheet really a security problem?
- It's a visibility problem that becomes a security one. Everyone with the link sees every buyer's phone number and budget, and the file leaves with whoever shared it. In Gudvins a rep sees only their own leads, and that limit is enforced by the database, not by a hidden column.
- What if the team won't stop using the sheet?
- That's the usual failure, and it's normally a sign the CRM asks for more typing than the sheet did. Start with leads and follow-ups only, leave inventory and cost sheets until that habit sticks, and put everyone on it — our pricing doesn't count seats, so there's no reason to leave juniors out.
